Technician visit planner
Turn an employee list into a technician schedule.
Tick the tests each person needs. The planner works out how long every appointment takes, how many technician days the job needs, and the on-site timeline for each day.

Tell us who needs testing.
List people by name, or just give a job role and how many people are in it - whichever you have to hand. Naming people means everyone gets their own appointment time on the schedule we send back.
We need their working hours too, because appointments have to sit inside the shift someone is actually on site for. Then tick the tests each person or group needs, and we will work out how many days the visit takes.
What does a completed list look like?
A shift-work site might send us five rows rather than sixty. Each row is a group who work the same hours and need the same tests, so you only name people if you want them to have their own appointment time.
| Role | Number | Hours | Tests |
|---|---|---|---|
| Machine Operator | 14 | 06:00 - 14:00 | Audiometry, Spirometry |
| Machine Operator | 12 | 14:00 - 22:00 | Audiometry, Spirometry |
| Warehouse Operative | 8 | 06:00 - 14:00 | FLT Driver Medical |
| Night Cleaner | 5 | 22:00 - 06:00 | Skin Assessment |
| Office Staff | 9 | 09:00 - 17:00 | Office Wellbeing Check |
Two things worth getting right. Give the hours people are actually on site, because every appointment has to fit inside them. And if some people can come in outside their shift, tick Flexible for that group - it usually means fewer days on site.
Job setup
One row per person, or set a count to cover a group who need the same tests. Appointment length is the sum of the ticked tests.
Add a row for each person, or one row for a whole group who work the same hours and need the same tests. Appointment length is worked out from the tests you tick.

SettingsYour shift patterns
Scheduling rules and test times. Changing anything here recalculates the schedule.
Check these match the hours your people actually work. If your nights start at 20:00 rather than 22:00, change it here once and every row using that pattern follows, rather than editing them one at a time.

Shift patterns
A pattern with more than one time window splits the group's headcount across those windows. Shares must total 100.
These are starting points, not your hours - change any that are wrong. A pattern with two time windows splits that group across both, so half the people are seen on each; the shares must add up to 100.
